Privacy Notice

Last updated: July 2026

Who We Are

This privacy notice is provided by Russell Jones, the operator of Liftlog Reports. We act as the data controller for the personal data we collect through the service.

What Data We Collect

  • Account data: name, email address, and password (stored securely via our authentication provider).
  • Inspection data: equipment details, photos, voice notes, signatures, and client contact information that you enter into reports.
  • Usage data: IP address, browser type, device information, and pages visited — collected via server logs and analytics.
  • Support data: messages and email addresses submitted through feedback or support channels.
  • Payment data: Paddle handles all payment processing. We do not store card numbers or bank details. We do receive subscription status and transaction references from Paddle.

How We Use Your Data

  • To create and manage your account and provide the service.
  • To generate, store, and deliver inspection reports and certificates.
  • To process payments and manage subscriptions (via Paddle).
  • To send service-related notifications (billing, security, feature updates).
  • To improve the service, fix bugs, and develop new features.
  • To prevent fraud and maintain security.

Legal Basis for Processing

We process personal data on the following legal bases:

  • Contract performance: providing the service you subscribed to.
  • Legitimate interests: service improvement, fraud prevention, and security.
  • Consent: where explicitly requested (e.g. optional marketing communications).
  • Legal obligation: compliance with tax, accounting, or regulatory requirements.

Who We Share Data With

We do not sell your personal data. We share it only with:

  • Paddle — our Merchant of Record, for payment processing, subscription management, tax compliance, and invoicing.
  • Hosting and infrastructure providers — to store and serve the application and data.
  • Professional advisers — legal or accounting professionals, where necessary.
  • Regulators or authorities — where required by law.

Data Retention

We keep your personal data for as long as your account is active, plus a reasonable period afterwards to comply with legal obligations, resolve disputes, and enforce agreements. Inspection reports you create remain available while your subscription is active. If you delete your account, we will securely delete or anonymise your personal data within 90 days, except where we are required to retain it by law.

Your Rights

Under UK and EU data protection law, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request erasure of your data (right to be forgotten).
  • Restrict or object to certain processing.
  • Request data portability.
  • Withdraw consent at any time (where processing is based on consent).
  • Lodge a complaint with the Information Commissioner's Office (ICO).

We aim to respond to all requests within one month. To exercise your rights, contact us through the feedback form on the website.

Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit (TLS), access controls, and regular security reviews. No method of transmission over the internet is 100% secure, but we take reasonable steps to safeguard your information.

Cookies

We use essential cookies to keep you signed in and maintain session state. We may use analytics cookies to understand how the service is used. You can manage cookie preferences through your browser settings.

International Transfers

Some of our service providers may process data outside the UK and EEA. Where this happens, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) or adequacy decisions, to protect your data.

Changes to This Notice

We may update this privacy notice from time to time. We will notify you of material changes by email or through the service. The latest version will always be available on this page.
